How To Setup Service Reminders

Autoflow is now capable of setting up automatic and manual service reminders for your customers! To get started with setting up your service reminders, please read the following.

1. Make sure you are signed in as an admin.

2. From the admin drop down menu, select the "Reminders" option, then select "Service Reminders".



3. This new page will allow you to view your service reminder queue, download a .csv file of your reminders, and begin setting up your reminders. Select the "Setup" option on the page.



4. At this time, the options available to setup service reminders for are: "Synthetic Oil Change", "Semi-Synthetic Oil Change", "Conventional Oil Change", "State Inspection", and "Tire Rotation".

5. To setup your reminder message information, make sure to select the service you wish. You can schedule the reminder time that you wish for the messages to be sent out, similar to how follow up messages are sent out.

6. From there, you will want to ensure the first toggle with the service's is turned on. This will ensure that the reminder message is active and can be sent out.

7. If you wish to automate messages, select the option "Automate (service)". This will automatically queue the message to be sent to the customer, as opposed to putting the message in the Service Reminder queue, then needed to select if you wish that message to be sent to the customer or not. 

8. Reminder Method - There are 2 options for Reminder Method. One will be the standard option, which will automatically send the message based on additional toggles below: "Send Reminder Every (month length)" and "Send Reminder Prior (day)". The other option will be "Predictive". 



The "Predictive" option will add an additional toggle to the setup page for "Mileage for Predictive Reminder". This option will allow the service reminders to go through a customer's service history to determine when the message should be sent out, based on previous work history and information submitted for the vehicle, such as mileage between visits. If more than one service interval with proper mileage exists, the system can calculate an expected date that the client is expected to reach the mileage threshold for their next service. This is automatic and does not include additional configuration. 

9. Last, but certainly not least, the message you want you customer's to receive. From the setup page, you are able to configure the message for your customer, for each service listed. Any limits or recommendations for the message are listed in the blue box above the message template area.



It is important to note that if a reminder was scheduled, and the system detects a service was performed related to the scheduled reminder, the previous reminder will be automatically removed and replaced with a new reminder queued off the most recent service.
