A walkthrough of Groups/Grouping

A walkthrough of Groups/Grouping

We have the ability to merge Customer numbers and assign multiple numbers to a specific profile. Additionally, now you can assign multiple vehicles to one number. This can be helpful in situations where a family with multiple vehicles and/or multiple telephone numbers come into your shop. Less confusion, better efficiency, more communication.

Here is a brief walkthrough on how to set this up.

For adding additional phone numbers

1. Search for an existing customer and go to their profile by clicking on "View Profile"

2. Under "Phone numbers" you will see multiple options;

1: This allows for the addition of a phone number. it will default to "Mobile", with no phone number and with the option of "Send updates" on.
2: Here you can delete (trashcan) a number or assign it a label, such as Mobile, Home or Work.
            3. If you want the number associated with the account but the customer does not want to be sent text updates, simply switch it to "Do not send updates" in the drop down menu.
            4. Lastly, dont forget to save the new information!

For adding an existing customer or a new member to a "Group"
1. In the customer profile, as shown above, below the "Phone Numbers" section there is a "Group" section.

1: To add or merge an existing customer click on this button. A box will pop up above that section, like so

            2. Simply enter in the customers name and click "+Add". This is now a grouped profile. You can do this with as many existing customers you want.

            3. To add a new customer or person to the profile, simply click "Add new member" and fill out the corresponding information.

            4. Don't forget to save! Now this person is a member of the Group.

Daily Utilization

For practicality, you wouldn't want to go search a customers profile every time to modify the preferences on phone updates, so to quickly change these preferences on an active customer,
first click on their name in the swim-lane on the dashboard.

Next, in the Edit Customer pop-up, you will be able to toggle whether or not to send updates to specific numbers.

This will come in handy if, say, a husband drops off his wife's vehicle and she too wants the updates.

For adding a new vehicle under a customers name
1. Below the Groups area, there is an area that allows multiple vehicles to be associated to the same profile. To do this, simply click on the "Click here to add a new vehicle" text.

2. From here, a box with the information to be filled out pops up. Fill out the information you can gather and click save.
